Let's Talk About the Price That Isn't on the Quote

Every quarter, I pull the same report: line items, quoted prices, final invoices. The gap between those numbers is where budgets go to die.

I'm a procurement manager at a 140-person packaging and thermoforming company. The Real Cost of Ignoring This

When I compared our Q1 and Q2 orders side by side—same vendor, same material, but different spec clarity—I finally understood why details matter. Q1 had 3 spec revisions. Q2 had 1. Q2 cost 11% less. The price didn't change. We just stopped paying for mistakes.

Over six years, the cost of these small gaps added up:

  • Wrong-spec reorders: $1,200 to $3,500 each when you include downtime and expedited freight.
  • Color match failures: 8% of our custom-color orders required a second run.
  • Rush shipping premiums: 25% to 100% over standard, depending on carrier and deadline.
