Spec Sheet vs. Source List: What I Learned Auditing 200+ Plastic Sheet Orders a Year

A quality inspector explains why relying only on a spec sheet for plastic sheets is risky. Why a supplier's full catalog—from PET to PVC—matters more for consistency.

When I first started reviewing orders for our packaging division, I assumed the perfect spec sheet was the only contract we needed. Get the thickness, the color tolerance, the surface finish right—and the supplier just has to deliver. Period.

Two years and roughly 400 orders later, I've learned that's only half the equation. The other half? What else that supplier makes—and how well they make it.

Here's what surprised me. A supplier that excels at food-grade PETG film might struggle with rigid PVC for a binding cover. The process parameters—cooling profile, draw ratio, surface treatment—vary wildly between materials. If a supplier's catalog looks like a list of specialties they are trying to promote, not a core competency list, we need to dig deeper.

The myth of the 'standard' PVC sheet

Here's something vendors won't tell you: The phrase 'standard PVC sheet' can mean wildly different things depending on which machine and which operator schedule it ran through.

People think a spec like "0.020" thick, gloss finish" is a locked specification. The assumption is that if the raw material meets the spec, the output meets the spec. The reality is that production environment matters. A supplier juggling ten different material types every week has a higher risk of contamination, temp mis-calibration, and—frankly—operator fatigue. A supplier that runs only PVC, day in and day out, has fewer variables to manage.

I've seen this play out in our own audits. In Q1 2024, we ran a blind quality check across five suppliers. All provided "0.028" clear PETG" per our spec sheet. The results? Variance in thickness was ±0.002" for suppliers whose core business was PETG. For the supplier whose main line was PS sheets? Variance was ±0.005". On a 50,000-unit order for thermoforming trays, that thickness variation alone caused a 12% scrap rate. The spec sheet didn't catch that. The source list would have.

But their overall manufacturing maturity might be lower than a multi-product supplier who has to manage production scheduling, material changeovers, and QC across multiple process recipes.

Real cost isn't the per-sheet price

The real cost is the downstream risk. A supplier that can't control color consistency between two batches of PVC will cost you in reprints, rejected packaging, or even brand damage. That's not theoretical. Per FTC advertising guidelines (ftc.gov), claims about product appearance or functionality must be substantiated. If your packaging has a color shift that looks 'off-brand,' it's a liability.

So glad I pushed for a supplier audit based on source list diversity. We were about to award a large PVC order to a supplier whose quote was way lower—seriously, 18% lower. But their catalog didn't list any other materials. That's a red flag for me now. A supplier that has never dealt with a higher-volume, higher-stakes material like PETG might not have the process rigor needed for a critical PVC production run. The industry is evolving—your supplier vetting should too

What was best practice in 2020—just checking the spec sheet and the price—may not apply in 2025. Buyers are asking for specific colors (not just "blue" but Pantone 286 C), specific surface finishes (gloss, matte, textured), and specific regulatory compliance (FDA, REACH, UL).

A supplier's catalog is their most honest marketing material. Industry standard color tolerance is Delta E < 2 for brand-critical colors. A supplier that states their color matching capability in Delta E rather than just "good color match" is telling you they understand the standard. A supplier that lists their thickness tolerance as ±0.001" rather than "tight tolerance" is proving their process capability.

So next time you're evaluating a supplier for PVC sheets, PET rolls, or thermoforming films, don't just read the spec sheet. Read their catalog. It might tell you more about your order's future than the spec ever will.

A note on boundaries

Does this mean a single-specialty supplier is always a bad choice? Not necessarily. For a simple, non-critical application—like basic protective sheeting—a dedicated producer with a narrow focus can offer unbeatable efficiency and price. The caveat is about critical, custom, or high-volume orders. For those, the breadth and process maturity of a supplier like eaton, with its diverse catalog of plastic sheets and rolls, offers a safety net that a spec sheet alone can't provide.
